Instructions for Oral Presenters

Please upload your PowerPoint presentation by 5pm, Friday 24 October. Files must be named using the session number followed by your last name. For example Session 4D_Young

Presentation Format

  • Presentations should be created in the 16:9 ratio.
  • Presentations should be supplied in Microsoft PowerPoint format. The computers used at the conference are Windows laptops and therefore Apple Keynote is not supported.
  • Videos – If the presentation contains embedded videos or multimedia content, please also upload the video as a separate file when uploading your presentation.

Prior to the Session

  • If you have not pre-submitted your presentation, please upload it at the Speaker Help Desk at least 1 hour before your session.
  • Arrive in your presentation room at least 10 minutes prior to the session to meet the Session Chair/s.

During the Session

  • The Session Chair/s will introduce you and open your presentation.
  • Please keep to your allocated time. An electronic timer, visible at the lectern, will countdown your 15-minute speaking slot. Exceeding the time limit will eat into allocated question time.
  • Q&A will be facilitated by the Session Chair/s at the end of each presentation, time permitting. Some sessions may also include a dedicated discussion period at the end of the session.
  • Only a 1-minute time card will be shown for speed talks.

Presentation Types

  • Plenary – 20 minutes, plus 5 minutes for Q&A
  • Standard – 15 minutes, including 5 minutes for Q&A
  • Lightning – 5 minutes (maximum 5 slides) with no Q&A

    Instructions for Poster Presenters

    Digital Submission Requirements

    All poster presenters must provide an A4-sized PDF version of their poster for inclusion on the conference website.

    • Upload your file no later than Friday 17 October.
    • Ensure the file is resized to A4 to keep the upload manageable.
    • If your poster was created with digital layers, please flatten the image before saving as a PDF to further reduce file size.

    Onsite Poster Requirements

    • Posters will be displayed throughout the conference.
    • Posters must be printed on high quality paper (no material/cloth).
    • Maximum size: ISO A0 (1189mm x 841mm) in PORTRAIT format only. 
    • When creating your file, set the digital canvas size to the intended print size (e.g. A0, A1) to avoid resolution issues.

    Image Permissions and Acknowledgements

    Presenters are responsible for:

    • Ensuring permission has been obtained for all images used.
    • Acknowledging the source of any such images.

    Delivery, Set up & Pack Down

    Early Delivery: Posters may be dropped off in advance (no earlier than 22 October) to:

    Labelling: Please attach the standard delivery note to all items to ensure proper handling and placement.

    Onsite Delivery: If not sending ahead, please deliver your poster to the Registration Desk upon arrival. Posters will be hung by the conference team.

    Pack Down: Posters must be dismantled on Thursday 30 October. Any posters remaining after 5.30pm will be discarded. Please note: organisers cannot accept responsibility for storing or returning posters.

    Poster Session

    • Poster presenters are expected to attend the Poster Session on Tuesday 28 October to discuss their poster and answer delegate questions.
    • Best Poster Awards will be presented at the Conference closing on Thursday 30 October.
